Are you someone who thrives in a small-team environment and wants to make a difference in our community? Under the direction of the President, and in support of Reliant Foundation’s community health mission and grant funding focus, the Executive Administrator will provide support to the President and Board of Trustees as well as office administration, accounting support and donor database oversight. The ideal candidate will have familiarity with nonprofit environments and the Central and MetroWest Massachusetts communities, have strong attention to detail, and enjoy building and maintaining relationships with our supporters and community partners.
Responsibilities
- Executive Administrative support for the Foundation President’s meetings and schedule.
- Responsible for scheduling, record keeping, and support for the Board of Trustees and its committees.
- Coordinate office accounting working directly with the President and Accounting vendor. This includes preparing check requests, invoice processing, online payments, reports, statements and completing month-end reconciliation of income and expenses.
- Manage and organize business account files including employee benefits, HR record keeping, business insurance, banking, legal, investment, and other outside vendor accounts.
- Donor database oversight, including gift entry, check deposits, acknowledgements, donor reports for events and mailings, and year-end giving summaries for donors as requested. Special event support including event registrations, online giving, auction payment systems, petty cash, event supplies, sponsor invoices, entering and tracking raffle and auction donations.
- Organize incoming Community Grant Proposals, track electronic applications, upload for online review, and create hard copy reference binders for review process.
- Order and maintain office supplies and equipment.
- Coordinate with IT vendor for computers/phones/internet service.
- Manage donor files including hard copy and electronic filing. Oversee project to scan and create electronic copies of all donor files to streamline filing system.
- Other duties as assigned.

- Complies with established departmental policies, procedures, and objectives, including code of conduct, confidentiality, and security procedures when handling cash, checks and credit cards.
- Complies with health and safety requirements and with regulatory agency guidelines such as DPH and CDC.
- Enhances professional growth and development through educational programs and seminars
- Attends a variety of meetings, special events, and conferences as required or directed.
- Regular, dependable, and predicable attendance is required.
- Opportunity to work remote one day per week, all other hours are in person in the primary office or at events.
Qualifications
- Bachelor’s Degree or equivalent with a minimum of three years’ experience in a professional office environment.
- Proficiency in Microsoft Word, Excel, PowerPoint, Outlook, and relevant Internet applications.
- Experience with DonorPerfect, OneCause or similar donor systems preferred.
- Excellent communication, organizational and people skills with meticulous attention to detail.
- A strong command of the English language is necessary to craft clear communications as well as proof reading and preparing donor correspondence.
- A positive attitude with good problem-solving skills.
- The successful candidate must be self-motivated and comfortable working in a small shop with a collaborative team spirit.
- Must have a valid driver’s license, be able to sit and stand for extended periods of time, and lift and carry up to 40 lbs.
