Job Description:
Clark University is seeking an administrative assistant responsible for the organizational and administrative duties for the office of Alumni & Friends Engagement and The Clark Fund. The Administrative Assistant also oversees the operations and finances of the offices of Alumni & Friends Engagement and the Clark Fund, schedules team and interdepartmental meetings, provides support to team members and for special projects, and oversees the general office operations.
The position requires an individual with a high level of initiative, exceptional organizational and communication skills, and the ability to adapt to a dynamic and fast-paced environment.
Manage office operations, including greeting visitors, answering inquiries by phone and email, maintaining and ordering supplies, coordinating mail, ensuring shared spaces are well organized, submitting work orders, and monitoring systems (printers, phones, conference lines, computers) and technology. (25%)
Assist with event preparation and packing including the creation of nametags, attendee lists, etc. and other special projects (15%)
Provide support for departmental budget, including but not limited to processing transactions, invoices and reimbursements. (10%)
Provide hands-on event support (occasional nights and weekends required) (10%)
Data entry including the processing of gifts and event registrations (10%)
Prepare and distribute meeting materials, agendas, and minutes and the University Advancement events calendar and manage volunteer data (10%)
Provide administrative support for the Executive Director of Alumni & Friends Engagement and The Clark Fund and the Director of Alumni & Friends Engagement (10%)
Assist with booking on-campus meetings and event space (5%)
Other tasks and duties as assigned (5%)
 Requirements:
Bachelor’s degree preferred.
6+ months of prior experience in a similar role, with demonstrated ability to take initiative, work independently and meet deadlines.
Commitment to providing excellent customer service in-person, on the phone, and by email.
High level of organizational and communication skills, and the ability to adapt to a dynamic and fast paced environment.
Strong basic mathematical skills to manage office budgets.
Effectively steward confidential information and ensure sensitive data and donor information is handled with care.
Strong computer skills are required, including proficiency with Microsoft Office and Zoom applications. Prior knowledge of Raiser’s Edge or similar CRM technology is preferred.
Writing and proofreading skills to prepare reports, meeting materials, and notes as needed.
Prior experience working with and contributing to a diverse workplace with the ability to interact effectively with a broad range of constituents on campus.
Occasional weekend and evening work required.
